Overview

• To provide a Telephonist/Receptionist service
• 8:00am – 5.00pm (job share basis)
• Providing scanning and tagging service within the Archive Area.
• To provide the office with an efficient postal service for incoming and outgoing mail
• General Secretarial / Admin support as required

 

Duties & Responsibilities

• To answer telephone calls in a courteous and professional manner, redirecting as appropriate.
• To take messages when required, ensuring that these reach people promptly using e-mail.
• To meet, greet and register all visitors through the Reception Area and inform staff of their arrival. On departure record time of leaving.
• To redirect as necessary all parcels and deliveries
• To manage meeting room bookings
• To book conference room equipment and order business lunches and refreshments for the suite of conference rooms.
• To proactively Scan and Tag documents for the Electronic Archive.
• Responsible for the provision of both internal and external postal communications to the highest standard of accuracy and efficiency in a timely fashion.
• Responsible for recording the money spent on post via the meter and the recording of cash and provision of stamps for the personal the postal service provided.
• Responsible for ensuring there is an adequate stock of printed material, stationery, and photocopier consumables, monitoring to ensure replenishment meets business needs.

 

Skills/Attributes Required

• There are two positions in total, both are office based. The nature of the work involved requires that personnel work as part a team and therefore they need to be flexible as work is interchangeable.
• A good knowledge of the business, especially the people in the business and their functions and key external contacts is highly desirable to enable a good service to be provided within the Post and Reception areas. This is a busy job where a pleasant disposition, good communication skills and tact are essential.
• Require a high level of accuracy and attention to detail to maintain departmental standards and auditing requirements.
• Requires a flexible attitude regarding working hours in times of exceptional circumstances and as and when demand requires. Working hours may increase during holiday periods.
• Must be able to work to deadlines as and when required and be capable of handling enquiries in a professional manner as well as dealing with other urgent matters.
• Be familiar with and adapt to new / developing technology in respect of machinery / equipment used within the role
